What is Scan & Sleep?
Scan & Sleep is a room-based Do Not Disturb system for hotels, villas and apartments.
Guests scan their room QR code, choose how long they need privacy, and the property team sees the active status on the Staff Dashboard.
When Email Alerts are enabled, selected staff members can also receive an email notification.
What types of accommodation can use Scan & Sleep?
Scan & Sleep can be used by hotels, villas, apartments and other professionally managed accommodation properties.
Is Scan & Sleep suitable for small properties?
Yes. Scan & Sleep is designed for both small accommodation businesses and larger hotels.
Does Scan & Sleep require new room hardware?
No. Scan & Sleep works through unique room QR codes and web browsers.
No electronic door sign, sensor or other room hardware is required.
Does Scan & Sleep replace my PMS or hotel app?
No. Scan & Sleep works alongside your existing systems as a simple, room-based privacy tool.
Does Scan & Sleep connect to my PMS?
Scan & Sleep currently operates independently from the PMS.
The QR code identifies the room or unit, not the reservation or the individual guest.
Is Do Not Disturb the same as asking not to clean the room?
No. A request not to clean the room normally applies only to housekeeping.
A Do Not Disturb status helps inform all relevant hotel teams that the guest is requesting privacy, including housekeeping, maintenance, minibar, room service and reception.
Normal emergency, safety and legal procedures still apply.
Can one account manage more than one property?
Yes. An owner can manage multiple properties using the same account and view them from one Owner Dashboard.
Each property keeps its own rooms, QR codes, settings and Staff Dashboard.
How should several villas be organised?
Villas that share the same staff, settings and Staff Dashboard may be added as units under one property.
Villas that require separate teams, settings or dashboards should normally be created as separate properties.

No app, no account and no personal details. Guests can activate and manage Do Not Disturb directly from their phone.
Do guests need to download an app?
No. Guests scan the room QR code and use Scan & Sleep directly through their phone browser.
Do guests need to create an account or log in?
No. Guests do not create an account and do not need to log in.
Do guests need to enter personal information?
No. The QR code belongs to the room, not to the guest.
No name, email address, reservation number or other personal information is required.
How does a guest activate Do Not Disturb?
The guest scans the room QR code, chooses an available end time and selects “Activate Do Not Disturb.”
How long does a Do Not Disturb request stay active?
The guest chooses one of the available end times.
The Do Not Disturb status automatically expires when the selected time is reached.
Can the guest cancel an active Do Not Disturb request?
Yes. The guest can scan the same room QR code again to view the current status and cancel the request.
The request can also be cancelled from the confirmation page while it remains open.
Can guests use Scan & Sleep in their preferred language?
Yes. The guest page is currently available in English, German, French, Italian, Spanish, Arabic and Chinese.
Can guests leave a message for staff?
Guest Notes are not included in the standard Scan & Sleep property settings.
If your property has a specific operational need for this feature, please contact Scan & Sleep Support to discuss availability and activation.
Why does the guest page ask guests to activate early?
When enabled by the property, the guest page displays the following reminder:
“To help our team serve you better, please activate Do Not Disturb as early as possible, ideally before housekeeping begins.”
This helps the hotel team organise housekeeping and other in-room services more effectively.
Can the property change the available guest times?
Not currently. The available options are preset to keep the guest experience fast, simple and consistent.
The options have been selected around common guest rest periods and typical hotel service hours, while the property’s local timezone is taken into account.
What happens if a guest repeatedly activates Do Not Disturb?
Scan & Sleep includes automated protections against unusual or excessive activity.
If repeated use appears abnormal, further activations may be temporarily restricted and the guest will see an explanatory message.

Reception, housekeeping and other authorised teams can quickly identify active rooms and end times from any device.
What does the Staff Dashboard show?
The Staff Dashboard shows which rooms currently have an active Do Not Disturb status and the time each request will end.
Can staff view Do Not Disturb requests from a phone?
Yes. Staff can open the Staff Dashboard from a phone, tablet or computer browser.
Do staff members need an individual account?
Operational staff can access the property’s dedicated Staff Dashboard link without creating an individual account.
Property owners and managers log in separately to manage rooms, settings and property access.
The Staff Dashboard link should only be shared with authorised team members.
How often does the Staff Dashboard update?
The dashboard updates automatically at regular intervals.
Staff can also use the manual Refresh button whenever they need to check the latest room status immediately.
Are active Do Not Disturb rooms shown first?
Yes. Active rooms are prioritised so staff can identify them quickly.
An Active Only view can also help larger properties focus on rooms that currently require attention.
Can staff see when a request will end?
Yes. The selected end time is displayed next to the active room.
Can staff cancel a guest’s Do Not Disturb request?
No. The request remains under the guest’s control.
It ends when the guest cancels it or when the selected end time is reached automatically.
Can staff receive an email when Do Not Disturb is activated?
Yes. When Email Alerts are enabled, selected staff members can receive an email notification when a new Do Not Disturb request is activated.
Can several departments use the same Staff Dashboard?
Yes. The Staff Dashboard link can be shared with authorised reception, housekeeping and other relevant operational teams.
Each property should decide internally which team members need access to the dashboard.

Is technical knowledge required to set up Scan & Sleep?
No. The setup process is designed to be simple.
You add the property name and its rooms or units, and Scan & Sleep creates the corresponding room pages, QR codes and Staff Dashboard.
How do I add my rooms or units?
During the initial setup, enter each room number or unit name on a separate line.
Scan & Sleep then creates a unique room page, link and QR code for each room or unit.
Can I add more rooms or units later?
Yes. Contact Scan & Sleep support when you need to add more rooms or units.
Each new room or unit receives its own unique QR code. Your existing rooms, settings and QR codes are not affected.
If the additional rooms exceed the limit of your current plan, you may need to move to the appropriate room plan.
Can I change a room number or room name?
Yes. You can change the display name of an existing room or unit.
For example, you can rename “101” to “Suite A” or “Villa Blue.”
Do I need to reprint the QR code after renaming a room?
No. The existing QR code and link continue to work after a room or unit is renamed.
Guests and staff will see the new display name on the online guest page and Staff Dashboard.
You only need to reprint the card if you also want the new room name to appear on the printed design.
Does every room need its own QR code?
Yes. Each room or unit has its own unique QR code and link.
The same QR code should not be used for different rooms, because every QR is connected to one specific room or unit.
Do Scan & Sleep QR codes expire?
No. The QR codes remain connected to their rooms while the property’s Scan & Sleep access is active.
The same QR codes can continue to be used after renewing or reactivating the property.
Can I use my own QR card design?
Yes. The QR cards generated by Scan & Sleep are ready to print and use.
You may also create a custom card design that matches your property’s branding, provided the correct unique QR code is used for each room or unit.
Where can I place the QR code?
The QR code can be placed on:
- Printed in-room cards
- Welcome guides
- Room tablets
- Guest directories
- Other suitable in-room materials
It may also be displayed on an IPTV screen, provided that the correct unique QR code is shown for each individual room.
The QR code should be easy for the guest to find and scan from inside the room.
Can I replace a damaged QR card?
Yes. You can reprint the card using the same room QR code.
The room link and its connection to the Staff Dashboard remain unchanged.
Can a new QR code be created for an existing room?
Yes, when there is a security or operational reason to replace the existing QR code.
QR code replacement should be requested through Scan & Sleep support to ensure that the new code remains correctly connected to the room and property.
Can I remove a room or unit?
If a room is no longer in use, you can simply remove or discard its printed QR card.
If you also want the room removed from the Staff Dashboard, property setup and registered room total, contact Scan & Sleep support.

Property owners and managers can update names, guest messages, notes, alerts and display options without replacing existing room QR codes.
What can I change from Property Settings?
Depending on your property configuration, you can manage:
- The property name
- The guest page message
- Room or unit display names
- Guest Notes
- Email Alerts
- Email notification recipients
- Guest page display options
Changes made to these settings appear on the relevant online guest and staff pages.
Can I change the name of my property?
Yes. You can update the property name from Settings.
The new name will appear on the relevant guest page, Owner Dashboard and Staff Dashboard.
Can I change the guest page message?
Yes. You can update the short property message displayed beneath your property name on the guest page.
This allows you to provide a simple instruction or welcome message that suits your property.
Can I change room or unit names?
Yes. Existing room and unit display names can be changed from Settings.
The existing QR code and room link remain the same after the name is updated.
Do I need to reprint QR codes after changing a room name?
No. The existing QR code will continue to open the correct room page.
You only need to reprint the card if you want the new room name to appear on the printed design.
Can I enable or disable Guest Notes?
Yes. Guest Notes can be turned on or off for each property.
When enabled, guests can leave a short optional message for staff while activating Do Not Disturb.
When disabled, the message field does not appear on the guest page.
Can I enable or disable Email Alerts?
Yes. Email Alerts can be enabled or disabled for the property, provided the feature is available for the active plan.
When enabled, selected recipients can receive a notification whenever a new Do Not Disturb request is activated.
How many Email Alert recipients can I add?
You can add up to three selected email recipients for each property.
These may include authorised members of reception, housekeeping or another relevant operational team.
Can I hide the early activation reminder?
Yes. You can choose whether the guest page displays the reminder encouraging guests to activate Do Not Disturb before housekeeping begins.
When the reminder is disabled, the rest of the guest page continues to work normally.
Can I hide the Scan & Sleep logo from the guest page?
Yes. The Scan & Sleep logo can be displayed or hidden from the online guest page.
This setting does not affect the room QR code or its link.
Can I upload my own property logo to the guest page?
Not currently. A custom property logo cannot currently replace the Scan & Sleep logo on the online guest page.
Your property logo may still be included in your own printed QR card design.
Does changing an online setting change my printed QR cards?
No. Changes to the property name, guest message, logo display or other online settings do not automatically change cards that have already been printed.
The QR code itself will continue to open the correct online room page.
Where can I view recent Do Not Disturb activity?
Property owners and managers can open the Recent Do Not Disturb Activity page from the Owner Dashboard.
It provides a recent record of room status changes, activation times, end times and available guest notes.
How long is recent activity stored?
Recent Do Not Disturb activity is currently retained for seven days.
Which changes should be requested through support?
Scan & Sleep support should currently be contacted for:
- Adding new rooms or units after the initial setup
- Removing rooms or units from the property dashboard
- Replacing an existing room QR code
- Changing to a different room plan
- Account or property access issues
- Changes that are not available directly in Settings
What cannot currently be changed from Settings?
The preset guest end-time options cannot currently be changed from Property Settings.
Property owners also cannot directly create, remove or replace the permanent QR identity of a room. These changes are handled through Scan & Sleep support.

Scan & Sleep identifies the room, not the guest, and includes safeguards against unusual or excessive QR activity.
Does Scan & Sleep collect guest personal data?
No guest account, name, email address, reservation number or other personal information is required to activate Do Not Disturb.
The system works through the QR code assigned to the room.
How does Scan & Sleep identify the guest’s room?
Each QR code is connected to one specific room.
The QR code identifies the room, not the guest, reservation or person staying inside it.
Is Scan & Sleep secure?
Scan & Sleep is designed with a privacy-first, room-based approach.
It avoids collecting guest identity information and includes automated protections against unusual or excessive QR activity.
Can someone outside the property activate Do Not Disturb?
A person would need access to the room’s unique QR code or its link.
For this reason, QR codes should normally be placed inside the relevant room and should not be publicly shared.
If a room link is believed to have been shared or misused, the property should contact Scan & Sleep Support.
Is there a limit on repeated activations?
Yes. Automated usage limits help protect each room QR code against excessive or abnormal activity.
If unusual repeated use is detected, further activations may be temporarily restricted.
Exact security thresholds are not published for security reasons.
Who can access the Staff Dashboard?
The property’s Staff Dashboard should only be shared with authorised members of the accommodation team.
The property is responsible for deciding which reception, housekeeping or operational team members require access.
Do Email Alert recipients automatically receive dashboard access?
No. Receiving an Email Alert does not automatically provide access to the Staff Dashboard.
Email notifications and Staff Dashboard access are separate. The dashboard link should only be shared with authorised staff.
What happens if the property temporarily loses internet access?
An internet connection is required to activate, update and view the current Do Not Disturb status.
When the connection returns, staff should refresh the dashboard and verify the latest room status before entering rooms.
Does Do Not Disturb override emergency or safety procedures?
No. Scan & Sleep supports normal guest privacy operations, but it does not override emergency access, guest-safety procedures or legal requirements.
Each property should continue following its existing emergency and safety procedures.

Scan & Sleep works through modern web browsers on phones, tablets and computers, without requiring software installation or additional room hardware.
Does Scan & Sleep require software installation?
No. Guests, staff and property managers use Scan & Sleep through a web browser.
There is no software or mobile application to install on individual devices.
Does Scan & Sleep work on iPhone and Android?
Yes. Guests can scan the room QR code using a compatible iPhone or Android phone and open the guest page in their web browser.
Can the Staff Dashboard be used on a phone, tablet or computer?
Yes. The Staff Dashboard is designed to work through modern web browsers on phones, tablets and computers.
This allows authorised staff to check room status from the device that best suits their daily operation.
Does the property need Wi-Fi?
Guests and staff need an internet connection to use Scan & Sleep.
This can be the property’s Wi-Fi network or a mobile data connection.
Does Scan & Sleep work with an existing PMS or hotel app?
Yes. Scan & Sleep works independently and can operate alongside an existing PMS, guest application, website or other hotel system.
It does not currently require a PMS connection because the service is linked directly to each room QR code.
Can the room QR code be displayed on an IPTV screen?
Yes. The room QR code may be displayed on an IPTV screen.
The IPTV system must display the correct unique QR code for the specific room. The same QR code must not be used across different rooms.
Are Scan & Sleep updates installed automatically?
Yes. Scan & Sleep is a web-based service, so updates are applied centrally.
The property does not need to install new software on each staff or guest device.
What should I do if a room QR code does not open?
First, check the device’s internet connection and try scanning the QR code again.
You may also test the QR code using a different phone or open its room link directly.
If the issue continues, contact Scan & Sleep support and provide the property name and room or unit name.
What should I do if the Staff Dashboard does not update?
Use the manual Refresh button and confirm that the device has an active internet connection.
If the dashboard still does not display the latest status, reopen the Staff Dashboard link or contact Scan & Sleep support.
Is additional technical support available after setup?
Yes. Scan & Sleep support can assist with access issues, room QR codes, property configuration and other technical questions.

How is the correct plan selected?
The appropriate plan is based on the total number of rooms or units registered for the property.
It is not based on occupancy, reservations or the number of Do Not Disturb activations.
Are Scan & Sleep plans monthly or annual?
Current Scan & Sleep plans are billed annually.
Are Email Alerts included in the plans?
Yes. Email Alerts are included in the paid Scan & Sleep plans.
They are not enabled by default during the current 30-day free trial.
What happens if I add more rooms or units?
Contact Scan & Sleep support when you need to add more rooms or units.
If the new total exceeds the limit of your current plan, the property will need to move to the appropriate larger plan.
Existing rooms, QR codes and settings remain unchanged.
Can I upgrade my plan later?
Yes. You can move to a larger room plan when your property adds more rooms or units.
Scan & Sleep support can help update the property while keeping the existing account and room setup.
What happens when the free trial ends?
If the property does not activate a paid plan, its Scan & Sleep access becomes inactive.
The property setup can be preserved so that the same account, rooms and QR codes can be reactivated after payment.
Will I need to print new QR codes after subscribing?
No. The same room QR codes can continue to be used after the property activates a paid plan.
The room links and connection to the Staff Dashboard remain the same.
Is there a plan for properties with more than 200 rooms?
Yes. Hotels and accommodation groups with more than 200 rooms can request a custom plan.
